Hi, I’m Jayne Miller, the QuickBooks Gal. Welcome to another in our series of “Quicklets” –informational podcasts about QuickBooks and related bookkeeping topics.


I’m returning to our regular schedule of bi-monthly podcasts beginning this week. As I told you in my last podcast, the QuickBooksGal has been involved in exciting training, growth, office expansion and remodels. We still have one more door that needs to be installed to allow passage between our main office and the classroom, and then we can get back to normal.


QuickBooks News

Release 8 Update. Look for the latest update for your QuickBooks software this week. Intuit has released R8 updates on their website. It should be available for automatic updates July 12th.
The QuickBooks Conversion Tool is a free downloadable tool that easily imports your Peachtree, Microsoft Small Business Accounting and Microsoft Office Accounting business data, balances, and historical transactions to help you and your clients pick up your books where you left off.
• Converts data from Peachtree versions 2001-2007, Microsoft Small Business Accounting 2006, and Microsoft Office Accounting 2007 into QuickBooks 2006 and 2007 Pro, Premier, and Enterprise Solutions editions.
• Guides you through a short and straightforward setup process.
• Download the tool once and use it to convert multiple company files for your clients.
• Moves data into a newly created QuickBooks file, so your existing Peachtree or Microsoft data is left untouched.
• Captures the current state of your business by automatically moving over lists, balances and transactions. You can choose to convert Lists only or Lists and transactions.

Peachtree News

I received my copy of Peachtree 2008 last week. I really like this new program. They still haven’t done anything about the 2 open year’s limitation, but they are moving in the right direction with their new user interface and other improvements. I will do a podcast in August about what’s new in Peachtree 2008. I have been using Peachtree since 1987 and while I am a huge fan of QuickBooks, I still like Peachtree, especially for certain industries.

There are great things going on here in Reno for the QuickBooksGal. Recently my office manager and I were shopping for office supplies and had the pleasure of being the very first customers to shop at the new Office Depot in Spanish Springs, Nevada. That was fun…neither of us had ever been the first customers before.

We look forward to meeting lots of QuickBooks users and business owners who are interested in training or services. Speaking of Lake Tahoe, our hearts go out to all the folks in South Lake Tahoe in the aftermath of the Angora Fire. So many of our friends and clients who live there lost everything; some who lost all have sent pictures to me. They truly lost everything. Some folks were 30-year residents. We are all saddened by their losses and join in the efforts to help out with donations. If you wish to make a donation of non-cash goods, I noticed last week that RC Willey Furniture in Reno has a drop box at their Steamboat Parkway store. I don’t know of other locations, but I am sure there are many and of course, you can always donate to the American Red Cross. We wish all the victims of this tragedy only the best.

How to "Un" Apply Credits In QuickBooks

Got a QuickBooks Mess? Call The QuickBooks Gal! Welcome to the QuickBooks Minute. I’m Jayne Miller, the QuickBooks Gal Recently, one of our Reno QuickBooks customers asked about "unapplying" credits in QuickBooks. While there are nicely labeled apply credits buttons, there are none marked unapply. This is the case for both customers (invoicing) and vendors (paying bills). So here is how it is done: For customers, it is a fairly easy process. Go to the invoice to which the credit was applied. Then click on the "Apply Credits" button. In the lower half of the new window that pops up is a list of Previously Applied Credits. Simply find the one, or ones you wish to unapply and click on the check mark next to it to make the check mark disappear. The credit will no longer be applied or tied to that invoice. For Vendors, i.e. bill payments, it is not as clean and simple. The only way to unapply a credit in such a case is to Delete the credit. You can then

QuickBooks Password Protection

QuickBooks now requires your employees to enter a password to view their pay stubs when you e-mail them. QuickBooks generates the passwords automatically; each password consists of the first four letters of the employee's last name followed by the last four digits of their Social Security number. Examples Name:                            SSN:                         Pay Stub Password: Ben Narramore              855-56-4545             narr4545 Deb D'Spain                  782-34-3419             dspa3419 Jimmy Wu                     903-88-7465             wu7465 Note that all characters must be entered in lowercase and punctuation characters are not included in the password. When a last name has fewer than four characters, the whole last name is used (like in wu above) but no additional characters are added. You will need to inform each employee of this new password requirement

Employee Salary/Wage Rate Report

Welcome to another QuickBooks Gal Minute. I'm Jayne Miller, The QuickBooks Gal. Do you need to produce a report by Employee that lists only Employee Name and Wage Rate? In QuickBooks that's easy! Here's how to modify a standard report to include the data you want to report. In the top tool bar, select Reports Select Employees & Payroll Select Employee Contact List from the drop-down list Once inside the report, select Modify Report in the report tool bar In the "column" section, remove the check marks from the information choices you don't need. In the "column" section, place a check mark next to "Employee" In the "column" section, place a check mark next to "Earnings/1 Rate" This will customize the report to include only employee names & salary/wage amounts.
