Today’s topic is Backing up Data In QuickBooks® Today, I’m going to talk about backing up your data in QuickBooks. This is probably the most important task in the bookkeeping/accounting process. I back up every time I access my data file. There are many ways to back up your data. 1. Floppy disks - While you still can use floppy disks, the scarcity of computers with floppy drives combined with the size of many data files has nearly eliminated this choice. 2. CD’s – most of us have a stack of CDR or CDRW disks…great way to secure your data. To do this task you must be in single-user mode to do this. Today, I’m going to talk about Converting One Write Plus and Peachtree to QuickBooks ®. I received a call a couple of weeks ago from a client who wanted to convert from an older accounting system of ledger sheets to QuickBooks. I obtained some information and determined that it would be best to have her come to our office where we could supervise her data entry from the ledgers into her new QuickBooks file that we would help her to create. She had an old 60 MHz computer and had not been exposed to any Windows® programs, so her learning curve could be large. Later, I spoke with her son who informed me that she was using One Write Plus. Today, I’m going to talk about Reconciling Bank Accounts in QuickBooks® . Nothing is so important and so overlooked in the bookkeeping process as performing monthly bank reconciliations. QuickBooks makes this process as easy as it could possibly be. Everyone should be in the habit of reconciling each checking, savings, credit card, or other financial accounts when they get a statement from the bank or issuing institution that holds these accounts. Monthly reconciliations allow you make sure your that books are accurate, on-track, and gives you the opportunity to head off problems at the pass… before they become HUGE problems. Today, we are going to talk about using shortcuts in QuickBooks. As much as I love to work in QuickBooks, I appreciate anything that speeds up my work and lets me get done faster. With that in mind, I created a QuickBooks and a Peachtree shortcut guide several years ago. Recently, though I’ve discovered a few more tips that I hadn’t been using that can really speed things up. The first one, I absolutely love. For people like me who live in Nevada, it can be a real pain filling in the “state” portion of addresses in QuickBooks drop-downs, as well as those on various web forms. Typing “N” brings up NE for Nebraska, while typing “NV” gives you Nebraska, then Virginia. What I learned only recently is that I can type N several times to cycle through all of the states that start with N. The same is true fo...
